Job Description

Landscape Construction Design Firm requires a Part Time Office Manager and Basic Bookkeeper.

We are looking for a competent Office Manager to assist with the administrative and bookkeeping operations of the company. The ideal candidate will be hard-working and have good written and verbal communication skills, computer literacy as well as be able to undertake a variety of office tasks.

Working closely with the owner to maintain accounts, perform general administrative tasks and organize documentation according to an established system, this role requires a commitment of 20-30 hours per week with some flexibility. Four to five days per week is preferred with the general hours of the business being 12 – 4pm.  Basic bookkeeping is required to reconcile accounts, ensure accuracy and complete weekly payroll. This role will also entail some additional general administrative assistance for the director of an associated business.



  1. Purchase supplies and equipment as authorized by management including ability to run errands as required.
  2. Monitor office supply levels and reorder as necessary
  3. Pay supplier invoices in a timely manner
  4. Pay any debt as it comes due for payment
  5. Issue estimates and invoices to customers
  6. Collect due payments from customers
  7. Ensure that receivables are collected promptly
  8. Record cash receipts and make bank deposits
  9. Conduct a weekly reconciliation of every bank account to ensure their accuracy
  10. Maintain the petty cash fund
  11. Issue payroll and payroll statements weekly in timely manner
  12. Maintain an orderly accounting filing system
  13. Maintain a weekly cash flow.
  14. Maintain some email and business related social media communications for the business


Desired Qualifications:

Basic knowledge of bookkeeping and QuickBooks, especially in managing cash flow reports. Knowledge of Microsoft Packages including Word and Excel. Driver’s license and bilingual in English/Spanish.
